2. Use a combination of both Skype, Instant messenging and email to get your point across. Usually an email is a good starting point then your employee will follow up with questions via Skype or an instant messenger.

3. Use proper English and avoid local slang or idioms when communicating via email. These can be misunderstood or not understood at all.

4. Remember that you may be unwittingly privy to more information than your employee is. Be careful not to overlook important facts that are common knowledge to you but to your outsourced employee may be crucial parts of the puzzle that build the big picture.

5. Make sure you prioritise work clearly for your employee so he/she knows what to do first.

There are many things to consider when outsourcing and you should definitely check out our other post on the subject 10 things to consider when outsourcing. You may feel a little apprehensive at first about the whole outsourcing business. After all, outsourcing means making major changes to your business model.

Where previously, you employed someone in your office to do the task, the work will now be taking place in another office thousands of miles away. From now on, you will use a combination of email, Skype and Instant Messenging tools like Yahoo! Messenger.

Communicating and explaining tasks by phone or by email requires a slightly different skillset than when you’re explaining a task to someone face to face. When you’re face to face, it’s easy to gauge the other person’s understanding of the task by their facial expressions and reactions. When you outsource and you’re explaining tasks by email or instant messenger as you often will, you don’t have the benefit of this because the communication is one-way: it’s a monologue not a dialogue.

So how do you get around this problem?

Well clearly this is not a problem that can’t be solved or the multi-billion dollar worldwide market for outsourcing would not exist today. In fact, by recognising that this problem exists; it is already half solved as it will force you to approach the communication from a slightly different angle. Acknowledging a problem is, after all, the first step in solving it.

Let’s take outsourcing PHP development as an example. PHP developers (and other programmers of course) are used to approaching things in a logical manner and like a task description sent from a client to read from top to bottom in the logical, systematic way they are expecting. When giving a task to a developer, it’s absolutely imperative that you are 100% clear in your communication. You have to look over what you read and ask yourself 2 very important questions: “Could this be interpreted in any other way than the way I intend?” and “Is it complete?”. If the answer to either of those is “No” then you need to go back and edit what you’ve just written until the answer to both is “Yes”.

The worst thing that can happen when you send work to your developer when you leave the office at night is that when you come back in the morning, instead of having a nice working web page, you have an email from the developer saying, “Sorry sir, could you please explain this more clearly?”.

By being clear and complete first time around you will keep your outsourced developer working productively, efficiently and happily.

For more information about avoiding communication problems, have a look at this link

Outsourcing can be great but there are many things to consider before starting, here’s ten of them:

1. Price – Make sure you consider the price of the service being provided and whether or not it represents a substantial saving on what you pay your local workers. Remember to factor in extra costs that you pay like HR, Electricity and other Office Costs – these will now be handled by your outsourcer.

2. Location – Where is your outsourcer based? You will need to communicate a lot with your outsourcer by email and by telephone so you need to make sure they speak your language well in this country. Don’t trust the company – do your own research into the real facts

3. Is outsourcing right for your business? – Consider carefully what outsourcing means and whether or not it will really save you time and/or money. Look at what other people are doing in your industry and follow their lead.

4. Sending work – You will have to change your daily routine somewhat when you are outsourcing as you or someone you put in charge will have to send work on a daily or weekly basis and follow up on it to make sure progress is being made and goals are being met

5. Communication with the worker – When communicating with an outsourced employee, it’s very important to be crystal clear in communication, especially if communicating by email or instant messanging. Words can often be misintepreted so instructions must be 100% clear. It’s usually best to use step by step points and to think of your email or message as a recipe to be followed.

6. Are you really hiring experts? – You need to be sure you can trust your outsourcer particularly when they say they will provide “experts”. It’s perfectly acceptable for you to request a full working history and references of your outsourced employee to make sure they are who they say are and know what they say they know.

7. Are you prepared for a bedding-in period? – When outsourcing for the first time, you must be ready for a bedding-in period as you get used to the feeling of sending out of your office. You will surely enjoy the feeling of more money in your company’s wallet from increased productivity and efficiency.

8. Official contract – Make sure you and your outsourcer sign an official binding contract that is acceptable to both sides. This can help if there are any disputes.

9. Consider the time difference – Don’t forget that there may be a time difference when you’re outsourcing work so that there may be little cross-over time when both you and the outsourcer are in the office. Though get used to sending work when you leave the office at night and having it ready for when you arrive for work the following morning.

10. Free Trial – If you’re outsourcing for the first time or if you’re about to use a new outsourcer for the first time then it’s common practice to request a free trial or a sample of work to gauge the effectiveness of the company you’re about to work with.
